WhatsApp Coexistence: keep the Business app and add a team inbox
6 min read · WhatsApp for business
For years, growing a WhatsApp presence meant an uncomfortable choice: stay on the easy WhatsApp Business app, or move up to the Platform for a proper team inbox — and lose your chats in the process. Coexistence ends that trade-off. Here's what it is and why it matters, in plain English for South African businesses.
1.The old trade-off
The free WhatsApp Business app is brilliant for one person: catalogue, quick replies, labels, all on your phone. But it tops out fast. It only links to a handful of devices, there's no real way for a team to share the load, and there's no proper routing, assignment or oversight.
The answer was always the WhatsApp Platform (the Cloud API) behind a shared inbox — many staff on one number, with logins and routing. The catch: historically, moving your number to the Platform meant deleting it from the Business app first, which wiped that app's chat history for the number. You gained a team inbox but lost your conversations and the app you were comfortable with. Plenty of businesses simply didn't make the jump.
2.What Coexistence changes
Coexistence lets the same number run on the WhatsApp Business app and the Cloud API at the same time. You don't move the number. You don't delete anything. You add a shared inbox alongside the app you already use.
- You keep your number — the one customers already have saved.
- You keep the WhatsApp Business app on your phone and can still reply from it.
- Your chats stay, and the connection can import your last 6 months of history.
- Messages sync both ways — reply in the app or in the shared inbox, and it stays in sync.
3.How it actually works
Setting it up is a QR code, not a migration. In a tool like Yapp you choose "Connect my existing WhatsApp number," a secure Meta window confirms your business, and you scan a QR code with your WhatsApp Business app — the same way you'd link WhatsApp Web. That links your number to the Platform while leaving the app in place. No SMS "re-registration," no downtime, no lost history.
Under the hood, your number now has a presence on both the app and the Cloud API, and Meta keeps the two in sync. For you, it just means your customers carry on messaging the same number — and now your whole team can answer.
4.Who it's for
Coexistence is a gift for the exact businesses that were stuck before:
- Small shops ready to grow. You've built up chats and regulars on the Business app and don't want to start over.
- Teams sharing one phone. Several people need to answer, but you can't risk losing the number everyone knows.
- Multi-branch businesses. Put one number in front of a shared inbox and route customers to the right branch — without a disruptive cut-over.
5.What it does not change
Coexistence is additive, so the things you'd worry about losing stay put:
- Your number stays the same.
- Your WhatsApp Business app keeps working.
- Your chats are safe — they live on your app and in the inbox, never inside Meta's business settings.
- Billing works as normal: WhatsApp's usual per-message pricing applies, including the free service-reply allowance.
6.How to get started
If your number is already on the WhatsApp Business app, you're ready. Sign up for a shared inbox, choose "Connect my existing WhatsApp number," and scan the QR. Our step-by-step guide to connecting your existing number walks through every screen — and the two errors people sometimes hit, with the fixes.
