WhatsApp Business app limits: linked devices & when you outgrow it
6 min read · WhatsApp for business
The free WhatsApp Business app is brilliant for a solo owner — but it has firm limits that catch growing businesses off guard. Here's exactly what those limits are, and the signs it's time for something built for a team.
1.Linked devices: your phone plus about four
WhatsApp lets you link extra devices to one account — your main phone, plus up to roughly four others (a tablet, a laptop via WhatsApp Web, another phone). Useful, but note two things: they all sign in as the same account, and it's still tethered to that one main phone. It was designed for one person spreading across their own screens — not five staff members each needing their own access.
2.One login for everyone
This is the real limit. Because linked devices share a single identity, there's:
- No "who replied". Every message looks like it came from the same account.
- No permissions. Anyone with access sees every chat — you can't scope a person to their branch or team.
- No assignment. Nothing stops two people answering the same customer, or a chat being forgotten because each assumed the other had it.
3.Broadcast limits
The app's broadcast lists are capped at 256 recipients, and they only reach people who have saved your number. That makes real, opt-in marketing to a growing customer base impractical from the app alone.
4.No routing, roles, or reporting
The app has quick replies, labels and away messages — handy basics. What it doesn't have is a menu that routes customers to the right branch, roles that keep staff to their lane, or any reporting on volumes and response times. For one person that's fine. For a team, it's flying blind. (This is really an app-vs-API gap — see WhatsApp Business app vs the API for the full comparison, including why menus are API-only.)
5.Signs you've outgrown it
- More than one or two people need to answer customers.
- You have — or are opening — more than one branch.
- Messages are slipping through the cracks.
- Staff are answering customers from their personal WhatsApp.
- You want to know who handled what, and how quickly.
6.What comes next: a team inbox
When you outgrow the app, you don't lose your number or start again — you move it onto the WhatsApp Business Platform and put a shared team inbox around it. Same number, but now with a login per staff member (no device cap), routing to branches or teams, roles, and oversight. Tools like Yapp do exactly this, and keep your existing number.
