How to use one WhatsApp number for your whole team
7 min read · WhatsApp for business
Passing one phone around the counter, or sharing a single WhatsApp login, is how most South African businesses start — and it works right up until it doesn't. Here's how to put your whole team on one WhatsApp number properly, without anyone sharing a phone or a password.
1.Why one shared phone stops working
It's a familiar scene: the business WhatsApp lives on one phone at the counter, and whoever's nearest answers it. Or the login is shared so a few people can use WhatsApp Web at once. It's free and simple — but as soon as you're busy, the cracks show:
- Messages get dropped or double-answered. Two people reply to the same customer; or everyone assumes someone else has it and no one does.
- No accountability. Because everyone is "the same login", you can't tell who said what, or who's behind on replies.
- Staff end up on their personal WhatsApp. The moment someone answers a customer from their own phone, that customer — and the conversation — walks out the door when the staff member leaves.
- No oversight. You can't see how many chats are open, how fast you're replying, or which branch is drowning.
2.The two proper ways to share a number
WhatsApp actually gives businesses two official routes — and knowing the difference saves a lot of confusion:
The WhatsApp Business app + linked devices
The free green app runs on one main phone and lets you link a few extra devices (a tablet, a laptop, another phone) — up to about four. Everyone signs in as the same account. It's fine for a solo owner spreading across their own screens, or two or three people who trust one shared login. But it's still one identity, capped devices, and no routing or roles.
The WhatsApp Business Platform (a shared inbox)
This is the "engine" Meta built for teams. It has no app of its own — instead, a shared inbox like Yapp plugs into it and gives every staff member their own login on any PC or phone, on your single business number. No device cap, proper roles, and messages routed to the right person.
3.What "properly" looks like
On a shared inbox, one WhatsApp number becomes a real team tool:
- A login per person. Each staff member signs in as themselves — you always know who replied.
- Routing. A quick menu sends each customer to the right branch or team (sales, support, a specific shop) automatically.
- Roles. A branch agent sees only their branch; a manager sees everything.
- Claim & assign. Chats are picked up by whoever's free, or handed to a specific person — nothing dropped, nothing doubled.
- Oversight. Open, pending, resolved, response times — at a glance.
- Notifications. A ping on your PC or phone when a customer messages a chat you handle.
Your customers notice nothing — they message the same number they always have. They just get answered faster, by the right person.
4."Can't I just do this on the Business app?"
Not really. Linked devices were built for one owner on a few of their own screens — not a team of separate people with separate accountability. There's no official way to turn the Business app into a multi-agent, routed, role-based inbox.
A warning: "unofficial" tools that log into WhatsApp Web on your behalf or automate the app break WhatsApp's rules and risk getting your number banned. The safe route is the official WhatsApp Business Platform through an approved provider.
5.A note on POPIA
When staff answer customers from their personal WhatsApp, customer data sits on personal phones outside your control — a POPIA headache waiting to happen. Keeping conversations on one business number, in a shared inbox with role-based access and a central record, is simply cleaner and safer.
6.How to set it up (the short version)
- Sign up for a shared inbox (Yapp is free to start).
- Connect your WhatsApp number — one-click connect handles most of the Meta setup. (New to that? See Setting up your Meta account.)
- Add your branches or teams, and build a simple menu so chats route themselves.
- Invite your staff — each gets their own login.
- Start replying, together, from one number.
